Virtual Spotter grows in US with lean direct debit model
Virtual Spotter, a Melbourne-founded virtual assistant provider for the fitness industry, has expanded into 11 countries. The US is now its largest market. The company uses GoCardless for recurring collections and keeps finance staffing lean.
Virtual Spotter provides administrative support for gym owners and fitness businesses. It says the service reduces time spent on back-office work and lowers operating costs. The company reports customers save an average of 65 hours of admin work and AUD $1.4k per month.
Its operating model relies on automated bank payments and integrated accounting workflows. Virtual Spotter uses GoCardless for recurring collections and foreign exchange conversion, with most monthly payment volume processed via direct debit through Xero.
Over the past five years, the business has processed more than 30,000 B2B transactions. It reports a "perfect collection record" over that period and says it has not needed a dedicated accounts receivable specialist.
Payments Backbone
Virtual Spotter processes more than 600 B2B transactions per month, according to company figures. It says 95% of monthly payment volume is collected via direct debit through Xero, covering everything from invoice triggers to reconciliation.
Direct debit is central to businesses built on subscription or retainer arrangements. It shifts payment initiation away from the customer at the point of each invoice, can reduce failed payments caused by card expiry, and limits manual follow-up by collections teams.
The set-up also handles foreign exchange conversion for international revenue. Virtual Spotter says automated FX conversion into Australian dollars has supported its expansion into the US and other markets.
Previously, Virtual Spotter managed payments and reconciliation across multiple banking relationships. It states that it once required 11 separate international bank accounts and relied on manual reconciliation. It now uses a single dashboard for collections and reporting.
Lean Finance
Finance operations remain small relative to the company's geographic footprint. Virtual Spotter says it has no dedicated accounts receivable role and relies on one part-time employee for finance.
That structure reflects a broader trade-off faced by smaller Australian and New Zealand firms: international growth can increase operational overheads. Many scale-ups add finance headcount early when entering new markets, particularly when they need local banking arrangements and must manage cross-border payments and compliance.
Virtual Spotter has taken a partnership-led approach to payments infrastructure rather than building internal systems and adding staff to manage collections. It positions this as a way to keep fixed costs down while expanding across multiple jurisdictions.
Gym Admin Market
Virtual Spotter targets a sector that is often operationally stretched. Gym owners and operators typically manage rostering, member administration, billing queries, and supplier coordination alongside customer-facing work, creating end-of-day pressure, especially for independent operators.
The service focuses on back-office tasks for fitness and wellness businesses. Virtual Spotter frames this as a response to late-night admin, noting that automation and outsourced support can reduce burnout and shorten return time to owners.

Virtual Spotter and GoCardless describe the payment setup as stable and predictable.
