Odina halves contractor approvals with Avetta system

Odina Industries has halved contractor approval times after adopting Avetta's compliance management system, while reducing administrative work by 30%.

The construction and infrastructure services company uses a workforce model that combines internal teams with about 40 to 50 subcontractors. It works on large engineering and construction projects for clients including BGIS, Ventia, Sydney Water, universities, councils and the Department of Defence.

That model means subcontractors often need to be ready to start work at short notice. In construction and infrastructure services, compliance checks and document reviews can determine how quickly people get on site.

Before introducing the system, Odina managed subcontractor compliance and onboarding manually. It said the process was time-consuming and created scope for human error, particularly when approving contractors, uploading documents, reviewing records and confirming compliance requirements.

Safety focus

Steven Sundstrom, Director of Odina Industries, said implementing Avetta was an early priority.

"When we started the business, implementing Avetta was one of the first things we did," Sundstrom said.

He said the platform had added assurance when projects required rapid mobilisation of workers and subcontractors.

"Avetta's simplicity provides an extra level of security and assurance. Some jobs require us to be ready to work quickly. This includes approving contractors, uploading and reviewing documents, and confirming compliance and other requirements," he said.

One recent case highlighted how quickly the company can now handle urgent approvals for site access.

"We recently had an instance where we needed something addressed urgently to get someone onsite, and Avetta helped us make this happen within 10 minutes," Sundstrom said.

He said the business now has a clearer view of worker status.

"Now, our workers are either 'green' or they're 'red'. We can move quickly and efficiently with 24/7 access to information we can rely on," he said.

Local support

Odina also cited local support as a factor in managing onboarding and contractor administration. Sundstrom said industry-specific support had helped keep processes straightforward while maintaining readiness for work.

"Having a local support team that understands our industry makes a huge difference. It's helped us keep things simple and focus on getting our people and partners ready for work," he said.

He also linked the system to the company's broader approach to safety and contractor oversight.

Workflow changes

Odina said the reduction in administrative work came largely from changes to prequalification and documentation management. Those are routine but resource-intensive processes for companies that rely on subcontracted labour across multiple projects and client sites.

By moving those tasks into a more standardised system, the business said it had freed staff to spend more time on work beyond day-to-day administration. It framed that as support for higher-value tasks and growth, rather than an expansion of compliance teams.

Avetta said its work with Odina reflects a broader need among construction and infrastructure contractors to balance safety controls with the ability to mobilise labour quickly. Businesses in the sector often move between periods of low activity and urgent project starts, putting pressure on supplier and subcontractor onboarding.
